Operations Manager (Finance)



The Office Manager reports to the Executive Director and serves as an administrative support resource for the FL-CEMS and Department of Emergency Medicine. This position will perform a wide range of administrative and operational duties across mission areas, including travel coordination/ arrangements and reimbursements, preparing spreadsheets, correspondence, reports and presentations, supply management, handling information requests, planning conferences and meetings. This position will also answer the main FL-CEMS phone line and other types of correspondence.
  • A Bachelor's degree plus at least one year of customer service experience; or a Master's degree in Hospitality, Business or related.
  • Degree Equivalency Clause: Four years of direct experience for a bachelor's degree.

Familiar with Microsoft Outlook, PowerPoint and Excel. Skilled in writing engaging social media posts for an organization. Intermediate computer skills preferred.

  • Administrative Support: Prepare presentation materials for others to use, edit content, and add appropriate graphic and design elements. These responsibilities may include creating basic web content. Perform basic statistical calculations on data for reports and presentations. Plan, prioritize, and schedule meetings and appointments on behalf of FL-CEMS leadership. Make decisions daily regarding calendars. Assist with grant proposals and serve as a resource for information related to the administration of grants and contracts. Act as a liaison for communication to internal and external customers as it relates to FL-CEMS.
  • Transactional Duties: Perform specialized administrative duties required to support FL-CEMS, using discretion to make judgments based on operating guidelines or create guidelines to streamline new processes. Support purchasing requirements for the Department of Emergency Medicine and FL-CEMS, researching items and obtaining price quotes, entering information into university systems, receiving purchase orders, as well as maintain and reconcile P-Card information as required. Arrange and coordinate travel and travel reimbursement for staff and project collaborators as needed.
  • Project Coordination: Serves as a resource person and keeps up-to-date with ongoing projects. Responsible for duties as required to support the mission and function of the division. Composes and prepares written documents and correspondence for the office, including memos, letters, presentations, and spreadsheets. Assist in Center Communication. Assist in updates and maintenance of community engagement resources (i.e. website, research pages). Assist in management of social media pages related to FL-CEMS and Department of Emergency Medicine.
  • Administrative: Supports employment administration and human resources processes, serving as a point of contact with the central HR department. Administers appointment paperwork requirements for staff and faculty. Fulfills administrative requirements for staff and faculty within area of responsibility.
  • Performs other duties as assigned.
