Receptionist (Administrative)



The Receptionist serves as the first point of contact for residents, families, visitors, and staff, creating a warm and welcoming environment while ensuring professional communication and efficient office operations. In addition to traditional front desk duties, this role is responsible for supporting billing and collections processes, as well as assisting with the maintenance and organization of employee files.
Key Responsibilities

Front Desk & Customer Service

  • Greet residents, family members, visitors, and vendors with courtesy and professionalism.
  • Answer incoming phone calls, direct calls to appropriate staff, and take accurate messages.
  • Monitor visitor access and maintain visitor log in compliance with facility policies.
  • Assist residents and families with general inquiries, forms, and appointment coordination.

Collections & Billing Support
  • Assist in preparing and sending monthly resident statements.
  • Follow up on outstanding balances via phone, email, and mail in accordance with facility guidelines.
  • Document collection activities and maintain accurate payment records.
  • Work with the Administrator and accounting staff to resolve billing discrepancies.

Employee File Assistance
  • Assist HR or Administrator with organizing and updating personnel records.
  • File new hire paperwork, training certificates, performance evaluations, and other HR documentation.
  • Help ensure employee files remain compliant with state and federal regulations.
  • Maintain confidentiality of all employee and resident information.

Administrative Support
  • Sort, distribute, and prepare incoming and outgoing mail.
  • Maintain office supplies inventory and reorder as necessary.
  • Assist with scheduling meetings and preparing meeting materials.
  • Perform other administrative tasks as assigned.
