The AAN works closely with the American Brain Foundation, housed in the Academy's headquarters.
POSITION SUMMARY:
The Annual Meeting and Conference Education Administrator works collaboratively with physicians and staff to support the development of relevant, evidence-based learning objectives for educational programming for a national physician audience. This position also manages additional projects in support of the Annual Meeting.
ESSENTIAL ACCOUNTABILITIES:
Education Program
•Administers the Annual Meeting education program and collaborates with over 600 world-renowned faculty to develop dynamic and impactful curriculum for conference attendees
•Monitors tendencies of other medical meetings and brings creative ideas into the AAN.
•Manages over 50 Annual Meeting non-member expert presenters, including coordinating travel, reimbursement of expenses, and honoraria management
•Coordinates the honoraria management process for all Annual Meeting programming
•Creates and maintains the Annual Meeting education program website presence; works closely with internal web development team to ensure a seamless navigation/search experience
•Periodically attends & facilitates face-to-face & virtual meetings of the Conference Subcommittee; synthesizes data and creates analytical reports for committee agendas to aid in decision making
•Administers the Topic Work Group process by collaborating with physicians and staff to develop the curriculum for the Annual Meeting
•Leads cross-functional staff team managing 19 Topic Work Groups; serves as the subject matter expert for training staff on how to build the curriculum recommendations
•Serves as a member of Experiential Learning team and coordinates talks within the Meeting Services Application
Annual Meeting
•Member of the AAN mobile app development, serving as the topic expert for education program data; collaborates on the development of the AAN's mobile application and works with the vendor to execute specification plans
•Partners with the AAN's audiovisual vendor to implement the Audience Response System (ARS) and coordinates logistical elements with the faculty
•Administers the programming portion of the Event Specification Book (ESB) for the Annual Meeting and coordinates vendor items, data entry, and report development and execution
•Provides support to one or more award workgroups to facilitate the yearly award winner selection process
Fall Conference
•Administers the Fall Conference program and collaborates with faculty to develop dynamic and impactful curriculum for conference attendees
•Manages all directors and faculty, including coordinating travel, reimbursement of expenses, and honoraria management

QUALIFICATIONS:
Education:
•Associate of Arts/Vocational/Technical Degree in Business, Management, Education or similar field is required
•Bachelor's Degree is preferred
•Equivalent combination of additional experience beyond the minimum requirement and/or education may be substituted for degree requirement
Experience:
•Minimum 3+ years of experience assisting or planning events and meetings, and handling logistics such as travel coordination, communications, or vendor activities is required
Additional Knowledge, Skills and Abilities:
•Strong organizational abilities including planning, delegating, and program development are required
•Exhibits independent problem solving and project management skills is required
•Demonstrates advanced oral and written communication skills is required
•Ability to interface and engage diverse groups of cross-functional department employees, members, community and clients is required

•Demonstrates proficiency for supporting software programs including AAN Meeting Services Application, Microsoft SharePoint, Microsoft Word, Adobe Acrobat, and Microsoft PowerPoint is required
ADDITIONAL POSITION INFORMATION:
FLSA Classification: Non-exempt
Travel Requirements: Occasional travel required – approximately 5%. Ability to legally travel outside of the United States, particularly but not limited to Canada.
Location: Minneapolis, MN
Schedule: Occasional evenings and weekends required
Physical Requirements: Standard office setting, with ability to sit for long periods of time, occasional use of stairs; regular use of computer and office equipment, lifting up to 10 lbs.
