Front Desk Support in the Office of International Affairs (Finance)
We are looking for a front desk administrative assistant who will work in our Office of International Affairs. This employee provides support to our OIA department and a group of professionals under general supervision. You will perform work that is varied and generally administrative and/or project oriented. Work occasionally requires use of initiative and judgment. This position may provide some secretarial support, but it is largely clerical in nature. This role will be stationed at the front desk of the office, and it is sometimes quite busy with various visitors coming in and out. You must be an organizer as well as a master of filing systems. Because of the fact the office has to deal with hardcopy paper documents, you will need to be able to systematically handle creating paper based records. A large part of your role will be addressing records retention and storage. You will work on various projects around storage of these documents. In addition to all of this the main focus is also scheduling and drafting letters. This role requires someone who will be unphased by sitting at a front desk and answering questions from a variety of students and employees.
This is a full time position that is classified as non-exempt. It is eligible for all UTHealth benefits. The work location is in the first floor of our University Center Tower located at the intersection of Fannin and Pressler. The buidling is on Metro's bus and rail service lines, and has many options for parking to access it. You will have full medical coverage and participate in a pension plan administered by the State of Texas. This is not a remote role.
Position Key Accountabilities:
Certification/Skills:
Working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.
Use of University financial systems may be required.
Minimum Education:
High School diploma or equivalent.
Associates degree preferred.
Minimum Experience:
Four (4) years related work experience required.
Prior experience with scheduling, maintaining calendars, and travel itineraries required.
Prior experience preparing meeting materials or general reports preferred.
May substitute required experience with equivalent years of education beyond the minimum education requirement.
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
