Internal Marketing Specialist (Administrative)

Internal Marketing Specialist
Under the general direction of the Director of Marketing, and according to established firm policies and procedures, the Internal Marketing Specialist is responsible for coordinating and managing events across several internal functions within the firm, including but not limited to, Diversity, Talent and Professional Development, along with broadly supporting certain firm-wide initiatives, including the Women's Leadership Forum. This position will work directly with firm business professionals at the C-level, along with partners in leadership roles, to support the administration of certain programs, including the creation and execution of events in support of the overall goals of that function or initiative. This position works collaboratively with local office administration to ensure coordination, effective engagement of resources, consistency of approach and high-quality execution. Ownership of other internal efforts, including client gift programs and promotional giveaways, are also part of the role's responsibilities. The position maintains professionalism and strict confidentiality in all client and firm matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but may not be limited to, the following. Other duties may be requested and/or assigned. Duties include, but are not limited to: managing and coordinating all technology, A/V, catering, facilities and reception setup plans; serving as liaison between administrative departments and the creative team; identifying and sourcing of branded giveaways; managing invitation design, RSVP process, room reservations and setup; materials coordination; and managing all on-site logistics, including ensuring that all technology, A/V, catering, facilities and reception plans are executed, as well as updating such plans for last-minute changes.
Manage various budgets by requesting, recording, and tracking expenses as they occur. Work with Director of Marketing to develop annual budgets.
Provide support for third-party sponsorships including managing the delivery of guest invitations, advertisements, attorney biographies and firm descriptions.
Coordinate and communicate with external vendors.
SUPERVISORY RESPONSIBILITIES
This position has no direct supervisory responsibilities, however, provides occasional direction to available business professionals. Occasionally oversees the duties of interns participating in the firm's school-to-work internship program.
KNOWLEDGE, SKILLS, AND ABILITIES
Bachelor's degree in a related field preferred and two to four years of marketing/event experience, preferably in a legal or professional services firm; or equivalent combination of education and experience.
Strong events management skills and experience providing concierge-level support, while exercising a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment.
Good judgment, administrative abilities, and decision-making skills. Proactive with excellent troubleshooting, problem resolution, and follow-through skills.
Excellent organizational and written skills, strong verbal communication skills, a high level of attention to detail and the capacity to work comfortably on multiple ongoing projects.
Excellent interpersonal skills with the ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information and maintain effective relationships with a diverse group of attorneys, clients, business professionals, and outside vendors and contacts.
Computer proficient with excellent technological skills including proficiency in Microsoft Office applications and database management. Knowledge of InterAction is a plus.
Dependable team player who works collaboratively and cooperatively with others in a team-oriented environment. Must also be able to work well independently, manage projects and maintain communications with various constituencies.
Ability to operate standard office equipment including computer, laser printer, telephone, photocopier, scanner, calculator, facsimile, etc.
Ability to occasionally retrieve and distribute marketing/desktop publishing materials, written documentation, or office supplies weighing up to 20 pounds.
