Tetra Tech is currently seeking an Administrative Support for the Port of Los Angeles Environmental Management Department (EMD). This is a temporary, part-time, non-benefited position.
The Administrative Support will provide assistance in the following areas for 16 hours per week.
INVOICING
-Process Agreement invoices.
-Verify labor rates, sub-consultant charges, and reimbursable expenses.
-Check compliance with City policies: travel, back-up documentation, Business Tax Registration Certificate, Insurance.
-Process non-agreement invoices: Personal Expense Statements, AFEs, IDOs, PO, and Requisitions.
-Monthly Reconciliation: verify invoice payments; update labor charges in EDS; follow-up on Correction Notices; Request outstanding invoices; check status for receivables.
-Fiscal Year-End accruals.
PROJECT DIRECTIVES
-Verifying General Ledger information: Account-Center-Program; WO & Job#; and APP#.
-Review SOW for sub-consultant opportunities.
-Sub-consultant approvals; circulate for signatures; issue NTP and upload to EDS.
AGREEMENTS/MOU PREP COORDINATION
-Review green sheet; verify funding.
-Request Insurance Assessments.
-Liaison between Project Manager and City Attorney, Contracts & Purchasing, and Risk Management.
OTHER AS-NEEDED TASKS
-Annual budget preparation.
-Open/Close Work Operational Work Orders.
-Review/prepare Financial Impact Statement for board reports.
-Facilitate RFP/RFQ process between PM and Contracts & Purchasing.
