  • Excellent communication, both written and verbal.
  • Proficiency in using office software (e.g., Microsoft Office, Google Workspace). A good understanding of AV equipment, video conferencing systems, and other relevant technology.
  • Ability to handle sensitive and confidential information with discretion.
  • Attention to detail and problem-solving skills.
  • Professional demeanour and appearance.

TK Elevator is currently seeking an experienced Executive Assistant located in Germantown, TN.

The Executive Assistant provide high-level administrative support to North American Executive Vice President for Production & Supply Chain. This role requires exceptional organizational and communication skills, as well as the ability to handle sensitive and confidential information with discretion. The Executive Assistant is expected to manage the executive's schedule, coordinate meetings and events, and handle a range of administrative tasks to enhance the executive's productivity.

ESSENTIAL JOB FUNCTIONS:

Calendar Management:

  • Maintain the executive's calendar, scheduling appointments, meetings, and events.
  • Prioritize and manage conflicting demands on the executive's time.

Travel Arrangements:
  • Coordinate travel plans, including booking flights, accommodations, and transportation.
  • Prepare itineraries and ensure travel-related documents are in order.

Communication and Correspondence:
  • Act as a liaison between the executive and internal/external stakeholders.
  • Draft, review, and edit emails, reports, and documents on behalf of the executive.

Meeting & Event Coordination:
  • Schedule and organize meetings, ensuring that all necessary materials are available.
  • Managing all logistical aspects such as transportation, catering, signage, and necessary supplies. Ordering and setting up audiovisual equipment and ensuring it functions correctly.
  • Take meeting minutes and follow up on action items.

Administrative Support:
  • Handle administrative tasks, such as filing, record-keeping, and expense tracking.
  • Manage incoming calls, messages, and inquiries.

Information Management:
  • Maintain confidential records and files, ensuring easy retrieval when needed.
  • Conduct research and gather information for executive decision-making.

Project Support:
  • Assist in managing special projects and initiatives as assigned by the executive.
  • Coordinate with other team members and departments as needed.

Prioritization and Time Management:
  • Assist in prioritizing tasks and activities to maximize the executive's efficiency.
