Administrative Assistant-Legal (Legal)



DH Pace Company, Inc. is seeking to hire an Administrative assistant in our Legal department. This position works with the Legal Assistant on a day to day basis, and works under the direction of, and reports to, the General Counsel. Two years of administrative experience required. Law firm/corporate law department experience is highly desired.

Position Overview:

  • Maintains Files: creates, maintains, archives, and retrieves files as needed. Performs daily internal e-filing.
  • Provides Administrative Support: coordinates travel arrangements, prepares itineraries, and prepares travel expense reports. Schedules meetings, and arranges the conferences rooms/ and meals.
  • Prepares Correspondence and Documents: types and modifies correspondence and legal documents. Proofreads for accuracy and completes tasks within requested timeframes.
  • Processes Mail: Date stamps, reviews, and routes incoming mail. Prepares and processes outgoing mail and faxes.
  • Billing Matters: Reconciles bills for corporate credit card expenditures. Prepares accurate check requests. Maintains related files and spreadsheets of legal expenses incurred.
  • Other responsibilities as assigned.

Qualifications:

  • Two years of administrative office experience required. Law firm/corporate law department experience is highly desired.
  • Bachelors Degree preferred
  • Strong typing and computer skills required. Proficiency with MS Office Suites. E-filing experience is desirable.
  • Must demonstrate good judgment and closely protect the confidentiality of all matters handled in the Legal Department.
