Manager, Payroll (Finance)

Scope:

The Payroll Manager oversees payroll operation s across the Americas region, ensuring accurate and timely processing of employee compensation, compliance with applicable laws and regulations, and the implementation of effective internal controls. This role serves as a key liaison between HR, Finance, Legal, and external vendors.

Job Summary:

The Payroll Manager is responsible for managing all aspects of payroll operations, including payroll processing, record maintenance, regulatory compliance, and the implementation of best practices. This role also involves supervising payroll staff, managing audits, and supporting strategic initiatives related to compensation and benefits.

Essential Functions & Accountabilities:

Payroll Processing

  • Oversee and manage weekly, bi-weekly, semi-monthly, and monthly payroll cycles.
  • Ensure accurate calculation of wages, deductions, bonuses, and taxes.
  • Ensure payroll cycles are executed in accordance with company policies.
  • Review and approve payroll transactions and reports.

Compliance and Reporting
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Prepare and file payroll tax, social security, and statutory reports, including year-end documents (e.g., W-2s, T4s).
  • Respond to audits and inquiries from regulatory agencies.

Systems and Technology
  • Maintain and optimize payroll systems (e.g., ADP Enterprise V6, ADP Workforce Now, ADP Celergo).
  • Maintain and optimize timekeeping systems (e.g., UKG Dimensions).
  • Collaborate with IT and HRIS teams to ensure system integrity and support upgrades.

Team Leadership
  • Supervise payroll staff, providing training and development opportunities.
  • Conduct annual performance reviews.
  • Delegate tasks and monitor performance to ensure accuracy and timeliness.

Cross-Functional Collaboration
  • Partner with HR and Finance to align payroll with benefits, compensation, and budgeting.
  • Support internal and external audits by providing required documentation.
  • Collaborate with Legal to address inquiries and ensure compliance.
  • Provide payroll and time/attendance reports to management.
  • Support cash flow management and forecasting with payroll data.
  • Manage the purchase order process for vendor payments (e.g., ADP, Lee Hecht, etc.).

Customer Service
  • Address employee inquiries regarding payroll, deductions, and tax forms.
  • Maintain a high level of confidentiality and professionalism.

Qualifications

Knowledge, Skills, and Abilities

  • Minimum of 5 years of payroll experience, including at least 2 years in a supervisory role.
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • CPP (Certified Payroll Professional) certification preferred but not required.
  • In-depth knowledge of payroll laws, tax regulations, and labor standards.
  • Proficiency with payroll, timekeeping, and HRIS systems.
  • Understanding of accounting principles and financial reporting.
  • Strong analytical and problem-solving skills.
  • Exceptional attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and other data analysis tools.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong leadership and team management capabilities.
  • Effective communication and interpersonal skills.
  • Fluency in Spanish and Portuguese is a plus.

Work Environment

  • Typical office environment.
  • Schedule: Onsite 5-days a week.
  • Prolonged sitting at a computer (>90% of the time).
  • Frequent use of fingers and wrists (>75%).

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $95,960.00 and $137,086.00 per year and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
