Records Specialist Lead (Legal)

Job Description:
Provide maintenance of data, records, and files necessary to provide servicing to the assigned client team or department. This position will perform duties as a lead relating to the implementation, and management of all aspects of document control and records management throughout the information lifecycle for physical or electronic records.
Essential Job Responsibilities
Evaluates current active records system for compliance by taking inventories and reviewing information retrieval needs
Monitor and listen to customers to understand inquiries and requests in order to provide accurate information about the firm's records and prompt assistance
Coordinates information creation, receipt, storage retrieval and disposition
Ensures security and preservation of records in records centers and inactive records
Works with departments on special information research and retrieval projects to ensure that all information needs are met
Exhibit excellence in customer service and the ability to serve others
Ensures application of retention schedules to inactive records. Answer verbal, telephone, written and e-mail inquiries, regarding records requests in an efficient manner
Prepare new files within the records system guidelines
Other duties as assigned
Qualifications & Characteristics
3+ years' experience in law firm records management
Prior supervisory experience (preferred)
Previous experience utilizing legal-specific records management systems (preferred)
High School Diploma or equivalent (4 years of college preferred)
Be personable, articulate, knowledgeable and professional in presenting oneself in a professional setting
Flexibility in dealing with simultaneous projects
Attention to detail
Ability to function with a high level of patience, tact and diplomacy in handling any “complaint” situations
Excellent communication (verbal and written) and organizational skills
Detail oriented and exceptionally attentive to accuracy
Ability to learn skills quickly
Ability to manage multiple tasks
Customer service and enthusiasm
Ability to routinely stand, bend and stretch
Ability to lift or move 40 lbs. or greater
Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 100lbs
Ability to walk, bend, kneel, stand, and/or sit for an extended period of time
Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc)
Working knowledge of Microsoft products pertaining to the specific position including but not limited to Outlook, Word, Excel, etc.
Strong initiative required; ability to work independently with minimal direct supervision
Strong computer and database skills
Ability to function with a high level of patience, tact and diplomacy to defuse anger and collect accurate information
