Administrative Assistant, Human Resources - Firm Services (Administrative)



Summary/objective

The primary purpose of this position is to assist the overall HR operations for Firm Services practice groups relating to onboarding, offboarding, record keeping, document management and other administrative functions of the department.

Essential functions

  • Collaborate with HR Managers/Generalists to assist in day-to-day HR operations for the firm
  • Create and maintain team member records in multiple HRIS platforms
  • Assist recruitment team with onboarding tasks including I-9 documentation follow up, and ad hoc onboarding tasks
  • Assist learning and development team with employee roster information for course assignments
  • Assist the Ridgeland, MS location by serving as primary relief for front desk
  • Assist HR team with team member status changes/terminations in HRIS platform
  • Assist firm benefits team with team member life status changes for benefits administration
  • Gather information for unemployment claims and hearings
  • Assist firm logistics team with hardware/IT equipment deployment and recapture
  • Process HR related documents to include general HR documentation, letters of resignation, separation agreements, etc.
  • Other duties as assigned

 

Work environment

Work to be performed in HORNE office setting 

 

Physical demands

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 20 pounds at times.

 

Travel required

Less than 10-15%, as required per business needs

Required education and experience

  • High School Diploma required
  • Minimum of 5 years' experience in a professional office setting
  • Ability to work alone or as part of a team, with minimal oversight; must be a self starter and have the ability to think ahead to next steps/processes
  • Ability to greet guests and direct incoming calls with professionalism and hospitality
  • Proven ability to handle sensitive information with discretion
  • Excellent verbal and written communication skills are required
  • Ability to utilize technical tools and systems to streamline work load
  • Proficient with use of Zoom, Microsoft Teams, video conferencing and team communication tools
  • Must be able to work in a Microsoft Office environment, to include Outlook, Excel, Word, PowerPoint

Preferred education and experience

  • Associate's or Bachelor's degree in General Business, Business Administration, or a closely related field is strongly preferred
  • Experience in a professional services firm strongly preferred
  • Prior human resources or legal experience is preferred
  • Experience with HRIS, benefits, and payroll platforms is preferred
  • Working knowledge of Adobe Acrobat Pro tools and Adobe Sign, DocuSign, or similar is strongly preferred
