Front Desk Staff Assistant (Finance)



The primary purpose of a Receptionist is to greet and assist customers (visitors, students, faculty, and staff) in face to face interactions or by telephone, serving as the first point of contact. This position typically also performs general clerical support such as filing, mailing distribution, phone support, data entry and basic document creation. This position can be distinguished from other support positions by the nature of work, which consists of assisting and directing customers as they arrive as well as responding to customer questions and requests via phone, in-person, fax, or email to support the general office/department workflow. This work is performed with regular supervision using established procedures to do the work. This position requires basic computer skills, however the specific responsibilities of this position can be learned through on the job training. This position would not have supervisory responsibilities, but may assist in directing the work of a student or temporary worker as necessary. The position requires that an individual be skilled in basic customer service and prioritizing tasks in order to be able to direct the flow of visitors, phone calls, emails, appointments, etc.This position requires a high school diploma. Telephone skills and basic computer skills such as working knowledge of how to use Outlook and Word are required.

  • Greets visitors and customers and notifies department/office staff of arrivals.

  • Assists visitors and customers with general questions such as who to contact, office hours, releasing basic account/status information, and responds to routine questions regarding the office/program/department which they are in.

  • Operates and manages multi-line telephones and routes incoming phone calls.
  • \n
  • Organizes and prioritizes front desk tasks such as managing and monitoring electronic calendars for conference rooms, personal appointments, meetings, and events.

  • Performs general data entry.
  • \n
  • Makes reservations such as travel arrangements or lunch reservations as necessary.
  • \n
  • Distributes correspondence and information to appropriate persons in the office/department.
  • \n
  • Stocks supplies and keeps office inventory.
  • \n
  • Signs for packages and receives mail. Sorts and distributes the office mail.
  • \n
  • Keeps the front office area and any public areas in neat and orderly condition.
  • \n
  • Performs other related clerical duties as required or deemed necessary.
